DriveMail Voice ("we," "our," or "the App") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, and safeguard your information when you use the DriveMail Voice mobile application for iOS and CarPlay.
1. Information We Collect
DriveMail Voice accesses the following data to provide its core functionality:
- Email content: The App fetches unread email messages (sender, subject, body) from your connected email accounts to read them aloud and to display them on the iPhone home screen and in the home screen widget. See Section 7 for details on how this content is stored on your device.
- OAuth tokens: If you connect Gmail or Outlook, authentication tokens are stored securely in your device's Keychain. We never see or store your email passwords.
- IMAP credentials: If you connect an iCloud or other IMAP email account, your app-specific password is stored securely in the device Keychain and is never transmitted to any external server.
- Voice input: When using voice commands or dictating replies, audio is processed on-device using Apple's Speech Recognition framework. Audio data is not stored or transmitted to our servers.
- Contacts: With your permission, the App reads your iOS Contacts to pronounce sender names correctly, filter emails to people you mark as VIPs, and look up recipients by name when you forward a message. Contact data is read on-device only and is never transmitted off the device.
- Focus status: With your permission, the App reads your current iOS Focus status (for example, "Driving" or "Do Not Disturb") so it can automatically skip non-VIP emails while you're focused. Focus status is read on-device only and is never transmitted off the device.
2. Information We Do NOT Collect
- We do not store email content on any server, and we do not transmit it to any party other than your chosen email provider (Gmail, Outlook, or your IMAP host).
- We do not track your location.
- We do not collect usage analytics or behavioral data.
- We do not sell, rent, or share any data with third parties (other than as described in the Third-Party Services section below).
- We do not operate any backend server. All processing happens entirely on your device.
3. How the App Works
DriveMail Voice connects directly to your email providers (Gmail, Outlook, or IMAP) using industry-standard protocols and APIs. Emails are fetched, read aloud using on-device text-to-speech, and optionally summarized using on-device AI. Voice replies are dictated using Apple's Speech Recognition, then sent through your email provider's API. All communication occurs directly between your device and your email provider over encrypted HTTPS connections.
4. Email Provider Access
The App requests the following access from each email provider:
- Gmail: Read email messages, modify email labels (mark as read), and send email on your behalf. These permissions use Google's OAuth 2.0 with scopes limited to gmail.readonly, gmail.modify, and gmail.send.
- Outlook: Read and modify email messages (mark as read) and send email on your behalf. These permissions use Microsoft's MSAL authentication with scopes limited to Mail.ReadWrite and Mail.Send.
- iCloud / IMAP: Access your inbox via IMAP to fetch unread emails and mark them as read, and send replies via SMTP. Requires an app-specific password generated through your Apple ID settings.
You can revoke access at any time through your email provider's security settings or by removing the account from the App.
5. AI Summarization
DriveMail Voice offers optional AI-powered email summaries. Summarization runs entirely on your device using Apple's built-in machine learning frameworks or a local extractive algorithm. No email content is ever sent to external AI services or cloud APIs for processing.
6. Third-Party Services
- Google Gmail API: Used for email access if you connect a Gmail account. Governed by Google's Privacy Policy.
- Microsoft Graph API: Used for email access if you connect an Outlook account. Governed by Microsoft's Privacy Statement.
- Google AdMob: The free version of DriveMail Voice displays a banner ad on the iPhone home screen only (never in CarPlay). AdMob may collect device identifiers and usage data for ad targeting purposes. You can remove ads by purchasing the premium upgrade. See Google's Privacy Policy.
- Apple Speech Recognition: Voice commands and dictation use Apple's SFSpeechRecognizer framework. Audio processing may involve Apple's servers depending on device capabilities. See Apple's Privacy Policy.
7. Data Storage and Security
All sensitive credentials (OAuth tokens, IMAP passwords) are stored in the iOS Keychain, Apple's secure encrypted storage. We do not operate any servers or cloud storage. HTTPS is enforced for all network requests.
On-device email cache. To make the app fast and to power the home screen widget, DriveMail Voice maintains an on-device cache of unread email metadata and bodies. This cache is written to local storage protected with Apple's NSFileProtectionCompleteUntilFirstUserAuthentication data-protection class — the same protection class used by Apple Mail and the official Gmail iOS app. The cache is encrypted at rest with a key tied to your device passcode and is readable only after the device has been unlocked at least once since boot. The cache never leaves your device, is never transmitted to us or to any third party, and is automatically cleared when you remove an account, sign out, tap "Clear cache" in Settings, or uninstall the App.
App Group sharing for the home screen widget. DriveMail Voice includes an iOS home screen widget that shows your latest unread email count and previews. To make this work, a small subset of cached email metadata is shared between the main app and the widget extension through a private iOS App Group container. This shared container is sandboxed to DriveMail Voice and its widget extension only — no other app on your device or any external service can read it. The same data-protection class described above applies.
8. CarPlay
When used with CarPlay, DriveMail Voice operates in a voice-only mode with minimal visual elements. No advertisements are displayed in CarPlay. The same privacy protections apply in CarPlay as on iPhone.
9. Children's Privacy
DriveMail Voice is not intended for use by children under the age of 13. We do not knowingly collect personal information from children. If you believe a child has provided personal information through the App, please contact us so we can address it.
10. In-App Purchases
DriveMail Voice offers an optional one-time purchase to remove advertisements. This transaction is processed entirely by Apple through the App Store. We do not collect or have access to any payment information.
11. Your Rights
Since we do not collect or store personal data on any server, there is no personal data for us to delete, modify, or export. All data is stored locally on your device and is under your full control. You can revoke email access at any time through your provider's settings, and delete all local app data by uninstalling the App.
12. Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated "Last updated" date. We encourage you to review this page periodically.
